Modernizing an HVAC Manufacturer’s Underground Conference Room for Hybrid Collaboration
How UC delivered a mobile, Teams-ready meeting solution against a tight deadline — with seven more rooms to come.
The Situation
A CEO Visit, a Working Limestone Mine, and No Time to Spare
This HVAC manufacturer operates part of its production out of a converted limestone mine, prized for the kind of precise, stable temperature control that only a subterranean facility can offer. With a CEO site visit scheduled for the following week, the manufacturer needed a working conference room fast — but the environment added a twist: much of the facility’s rock walls aren’t suited for permanent AV mounting, ruling out a standard fixed installation as an immediate option.
What We Did
A Mobile Teams Room, Deployed Under a Deadline
UC designed and assembled a fully mobile Microsoft Teams Room solution centered on a Samsung 75″ display mounted on a Heckler cart, paired with a Logitech Rally Bar and Rally Mic Pod for enterprise-grade audio and video capture. Meeting control was simplified with a Logitech Tap running Android, giving users one-touch join for Teams meetings without any learning curve.
Key move: With the CEO visit as the hard deadline, UC prioritized getting a self-contained, rollable Teams Room in place first — a system that didn’t depend on mounting anything to the mine’s rock walls and could be wheeled to wherever it was needed. The cart is the first piece of a broader standard design for the facility’s eight conference rooms; Logitech Extend for BYOD/BYOM and the Logitech Tap Scheduler for room availability are planned for the remaining rooms on a follow-up visit.
The Outcome
A Meeting-Ready Room in Time, With a Clear Path Forward
The mobile Teams Room was ready ahead of the CEO’s visit, giving the manufacturer a fully functional Microsoft Teams meeting space despite the facility’s unique constraints. It’s the first step in a facility-wide rollout across all eight underground conference rooms, with UC returning to complete the remaining deployments and bring the full standard design — scheduling and BYOD/BYOM included — online.
